Attendance and Leave Management System: How It Works, Features and Policy Tips

Quick answer: an attendance and leave management system records when employees work, manages shifts and holidays, lets employees apply for leave and managers approve it, and passes the final days worked to payroll. It replaces registers and spreadsheets, removes month-end disputes and makes salary accurate.

Here is how these systems work, the features that matter in India and the policy decisions to make before switching.

Why spreadsheets stop working

Attendance looks simple until a company has shifts, multiple locations, field staff, half days, comp-offs and different leave types. Common problems:

  • Late marks and half days recorded differently by each manager
  • Leave approved on WhatsApp but never recorded
  • Balances disputed at year-end or at exit
  • Payroll delayed while HR chases attendance sheets
  • No proof when an employee questions a salary deduction

An online attendance management system fixes these by making one set of records the source for everyone.

How attendance tracking works

MethodHow it worksBest for
Web check-inEmployee clicks check in and out in a browserOffice and remote teams
Mobile app with GPSCheck-in records location; can be limited to office locationsField sales, service engineers, multi-site teams
Biometric devicesFingerprint or face devices, data imported into the systemFactories, warehouses, large offices
Shift rostersPlanned shifts compared with actual check-insRetail, healthcare, support centres
TimesheetsHours logged against projects or clientsAgencies, consultancies, IT services

Most growing companies use a mix: biometric or web for office staff and GPS check-in for people on the move.

Key features to look for

Attendance

  • Multiple check-in methods with location or office rules
  • Shift templates, rotating rosters and night shifts
  • Grace time, late marks, half days and overtime rules
  • Regularisation requests with manager approval
  • Office locations and holiday calendars per location

Leave

  • Configurable leave types: earned, casual, sick, maternity, paternity, comp-off, loss of pay
  • Accrual rules, for example earned leave credited monthly
  • Carry-forward and lapse rules
  • Multi-level approvals with notifications
  • Team calendar showing who is away

Self-service

  • Employees apply for leave and view balances on mobile
  • Managers approve from a single queue
  • Employees see their attendance history and raise corrections

Payroll connection

  • Days worked, loss of pay and overtime flow into payroll
  • Locked attendance after payroll to protect accuracy

Reports

  • Late-coming and absenteeism trends
  • Leave liability and balances
  • Location and department attendance summaries

Writing a clear leave policy

Software applies rules; it cannot invent them. Decide these first:

  1. Leave types and quantities per year, by employee category if needed
  2. Accrual: yearly credit or monthly accrual
  3. Probation rules: whether new joiners can take paid leave
  4. Carry-forward limits and what happens to excess leave
  5. Encashment: when unused leave is paid out (see our leave encashment guide)
  6. Sandwich rule: whether weekends between leave days count
  7. Notice and approval: how far in advance and who approves
  8. Holidays: fixed and optional holidays by location
  9. Loss of pay: how unapproved absence is treated

Check the minimum requirements under your state's shops and establishments rules and the labour codes, and write your policy to meet or exceed them.

Attendance rules worth deciding upfront

RuleTypical choice
Grace time10–15 minutes
Late marks3 late marks = half day, applied consistently
Half dayLess than 4–5 hours worked
OvertimePaid or comp-off after daily or weekly threshold
Missing check-outRegularisation within 48 hours
Attendance percentagePresent days ÷ working days × 100

Our attendance percentage calculator works for employee attendance too.

Comp-off, overtime and holidays

Three areas cause most disputes after a system goes live:

Comp-off: decide whether working on a weekly off or holiday earns a compensatory day off, how quickly it must be used and who approves it. Credit comp-off automatically when the extra day is approved, and let it expire after a set period so balances do not grow indefinitely.

Overtime: define the threshold, the rate and whether it applies to all employees or only certain categories. Overtime rules under the labour codes and state laws apply to workers, so check who is covered before designing your policy.

Holidays by location: companies with offices in several states often observe different festivals. Maintain a holiday calendar per location and let employees see theirs in the app. Optional or restricted holidays give flexibility without increasing the total number of days off.

Questions employees ask most

  • "Why was a half day marked on the 12th?" – show check-in and check-out times with the rule applied
  • "How much leave do I have left?" – show balance, accruals and leave taken
  • "Why is my salary lower this month?" – link loss-of-pay days to the attendance record

A system that answers these on the employee's own phone saves HR hours every month.

Rolling out a new system

  1. Clean the data: employees, managers, locations and opening leave balances
  2. Configure policies exactly as written
  3. Pilot with one team for two weeks
  4. Train managers on approvals and regularisation
  5. Run one payroll in parallel with the old method
  6. Go live for everyone and lock the old spreadsheets

Measuring whether it worked

Three months after launch, compare against your old process: the number of attendance corrections per month, the days needed to close payroll inputs, the number of leave-balance disputes, and how many managers approve requests within a day. If corrections are still high, the policy or the shift setup usually needs adjusting, not the people using it.

Privacy and fairness

Location tracking must be limited and transparent. Record location only at check-in, not continuously, and explain the purpose to employees. Keep attendance data accessible only to people who need it.

Attendance, leave and payroll together

The biggest benefit comes when attendance, leave and payroll share the same data. MizUp BMS includes attendance with check-in and office locations, shifts and rosters, timesheets, leave policies with accrual, holidays, approvals and payroll runs, so the days an employee worked are the days they are paid for. Frequently asked questions

What is an attendance management system?

Software that records when employees start and finish work, handles shifts, late marks and overtime, and passes accurate attendance to payroll.

How does GPS attendance work?

Employees check in on a mobile app. The app records their location at that moment and can require it to be within a set distance of an approved office or site.

What should a leave policy include?

Leave types, how leave is earned, carry-forward and encashment rules, approval steps, notice required, holidays and how leave affects pay.

Can attendance and payroll be connected?

Yes. When attendance and approved leave feed payroll automatically, loss of pay and overtime are calculated without manual spreadsheets.

Is biometric attendance still needed?

Many factories and offices still use biometric devices. A good system can import device data and also offer mobile check-in for field and remote staff.
