Billing Software for an Electronics Shop: Serial Numbers and Warranty

An electronics shop sells a small number of high-value items where every unit has an identity. That single fact changes the billing requirement completely.

Identity per unit

A mobile phone is not a kilogram of sugar. Serial or IMEI on the invoice gives you:

  • A warranty claim you can verify in seconds.
  • A return that matches the unit actually sold.
  • Stock that is countable rather than estimated.
  • An answer when a customer or an authority asks about a specific device.

The rest of the counter

  1. Warranty terms on the printed invoice.
  2. Exchange value recorded, not netted off invisibly.
  3. Payment mode on the bill - cash, UPI, card, EMI.
  4. Credit notes against the original invoice for returns.
  5. Purchase records so input GST reconciles.

How MizUp Finance handles it

MizUp Finance produces GST invoices in seconds with the right tax split, premium invoice designs carrying your logo, signature and stamp, inventory that moves as you bill, UPI collection on the invoice, and every sales and purchase document including credit notes. Over thirty reports cover sales, stock and GST.

Customers billed at the counter are the same records MizUp CRM holds, so a service reminder or an upgrade offer through MizUp CLM reaches the person who bought the device.

Print the warranty period on the invoice. It costs nothing and removes the most common counter dispute in this trade.

What it costs

Where to start

Capture serial or IMEI on every sale for one month. The first warranty claim you settle in ten seconds will justify it. Explore MizUp Finance.

Where electronics retailers usually go wrong

  • Serial numbers on the box, not on the bill. When a warranty claim arrives, the bill is the only document that matters and it does not identify the unit.
  • Warranty terms explained verbally. Six months later two people remember two different conversations. Print it.
  • Exchange value netted off invisibly. The invoice then shows a discount and the margin on the exchange disappears from every report.
  • Payment mode not recorded. Card and EMI settlements arrive days later at different amounts. Without the mode, reconciliation is memory.
  • Returns as a fresh sale in reverse. Credit notes against the original invoice are what keep GST returns clean.
  • No service or upgrade contact. A customer who bought a phone from you is the easiest upgrade sale in two years, and most stores never contact them.

A realistic first thirty days

WeekFocusWhat good looks like
Week 1Items with HSNLoad the categories you actually sell, with tax rates and HSN.
Week 2Serial captureCapture serial or IMEI on every sale. It adds seconds and pays back on the first claim.
Week 3Warranty and exchangeWarranty terms printed on the invoice; exchange recorded as a line, not a silent deduction.
Week 4Payment modes and reconciliationEvery bill carries its payment mode; settlements reconciled weekly.

Serial capture is the habit that matters. Everything else on this list is configuration; that one is behaviour, and it needs a week of insistence.

High value changes the requirements

Selling forty items a day at ₹18,000 each is a different business from selling four hundred at ₹80, even though both are retail. The transaction count is low, the value per error is high, and the customer expects the shop to remember them.

That is why identity per unit matters here and not in a kirana store. A serial number on the invoice is the difference between settling a warranty claim in ten seconds and searching a paper file while a customer waits.

The second difference is the tail. A phone or an appliance has a predictable replacement window, and a store that knows which customer bought what in which month has a list worth more than any campaign.

Capture the serial, print the warranty, record the mode. Three habits, and the rest follows.

How this fits with the rest of your stack

An electronics shop sells twice to the same customer if it remembers them: once now, once at the replacement window.

On MizUp, Finance raises the GST invoice with serial details, warranty terms, exchange lines and UPI collection, and moves stock as you bill. The customer record is shared with CRM, so a service reminder or an upgrade contact through CLM on the official WhatsApp Business API reaches the person who actually bought the device.

Neither product assumes the other. The connection simply means the second sale does not require a new list.

EMI, card settlements and the reconciliation gap

High-value retail collects money in more ways than any other counter: cash, UPI, debit card, credit card, no-cost EMI through three financiers, and occasionally a bank transfer that arrives the next morning. Each settles on a different day at a different amount after a different deduction.

Stores that do not record the payment mode on the bill end up reconciling from bank statements against memory, usually a fortnight late, and usually accepting whatever the settlement says because checking it properly is not feasible.

Recording the mode at billing costs one tap and makes weekly reconciliation possible. The first month usually turns up at least one settlement that came in short, and once a financier knows you check, it tends not to recur.

For a store doing twenty high-value bills a day, that habit is worth more than most of the features people compare when choosing software.

Frequently asked questions

Why track serial or IMEI numbers?

Because a warranty claim, a return and a stolen-handset query all begin with which exact unit was sold to whom. Without it you are searching paper bills.

Can warranty details go on the invoice?

Yes - period and terms on the printed invoice save a large number of arguments later.

How are exchange sales handled?

As a value reduction on the invoice with the exchanged item recorded, so margin stays visible.

Does it handle EMI and card sales?

Record the payment mode on the bill. Reconciliation is then against actual settlements rather than memory.

Is GST handled for high-value items?

Yes, with the correct tax split and HSN, and GST reports from the same data.
