
Most coaching institutes grow on the strength of their teaching and then struggle with operations: enquiries lost in call logs, batch changes on WhatsApp, marks in spreadsheets and fee dues in a notebook. Here is a simple operating system for each stage.
1. Enquiries and admissions
Every admission starts as an enquiry: a call, a walk-in, a form on your website or a message from an ad. Treat enquiries as a pipeline:

Three habits make the biggest difference:
- Respond the same day. An enquiry that waits two days has usually called two other institutes.
- Set a next follow-up date for every open enquiry and review the list each morning.
- Record the source. At the end of the month you will know whether your ads, referrals or seminars actually bring admissions.

Organise students as course → batch (for example NEET 2027 → Morning Batch A). For each batch, keep the room, capacity and main teacher. Build a weekly timetable per batch and check two clashes before publishing:
- the same teacher in two batches at the same time
- the same room booked twice
When a student moves batch, change it in one place so attendance, tests and the timetable follow.
3. Attendance
Take attendance per batch, per day, with four simple marks: present, absent, late, holiday/leave. Share the monthly percentage with parents. Students below your threshold (often 75%) should get a call before test results slip.
4. Test series, marks and ranks
Tests are the heart of a coaching institute. For each test, record the batch, subject, date, maximum marks and pass marks. Then:
- Enter marks, and mark absent students as absent, not zero
- Calculate ranks within the test; students with the same marks share a rank
- Show percentile for large batches
- Publish results so students and parents can see them, and keep unpublished drafts private
A progress report that lists every test, marks, percentage and grade, together with attendance, is what parents want to see at a parent-teacher meeting.
5. Fees and receipts
Coaching fees are usually a course fee split into instalments. Set up a fee plan per course, assign it at admission, give scholarships or concessions with a reason, and issue a numbered receipt for every payment. 6. Communication with students and parents
- Notices for holidays, test schedules and batch changes
- Homework or assignments per batch with a due date
- A portal where students and parents see attendance, results, fees and receipts
