WhatsApp Business API for Schools and Coaching Institutes

An institute already communicates on WhatsApp. The question is whether it does so from a teacher’s personal number and a group nobody can leave, or from the institute’s own number with a record of what was sent.

That is the entire difference between the consumer app and the Business API.

What changes on the official API

  • One thread per parent, not a group where everyone sees everyone.
  • Delivery and read status, so a fee reminder that never arrived is visible.
  • Approved templates, which means messages go out reliably instead of being rate-limited.
  • A real opt-out, which keeps you on the right side of both Meta and parents.
  • Continuity, because the number belongs to the institute and not to a staff member who leaves.

The messages that matter across a year

  1. Enquiry acknowledgement, within minutes.
  2. Demo class reminder, the evening before.
  3. Admission confirmation with the fee structure.
  4. Fee due reminder, then fee received.
  5. Attendance alert when a student misses two days.
  6. Exam schedule and results notice.
  7. Holiday and event notices.

How MizUp CLM handles it

MizUp CLM gives you the official WhatsApp Business API, a template studio with a live preview so a counsellor can see what a parent will see, and a shared inbox so replies reach whoever is on duty. Journeys handle the timing - a fee reminder three days before the date, once more on the day, and nothing after payment lands.

Enquiries live in MizUp CRM and students in MizUp EOS, and CLM messages against the same records - so the fee reminder knows the fee was paid, because it is reading the same ledger.

The single biggest improvement most institutes make is not a new channel. It is stopping the attendance alert from going out after the parent has already replied to explain.

What it costs

CLM starts at Rs 1,999 per month; Meta charges per conversation separately and is billed through at cost. See CLM pricing.

Where to start

Get three templates approved - enquiry acknowledgement, fee due, attendance alert - and run them for a term before adding anything else. Explore MizUp CLM.

Where institutes get WhatsApp wrong

  • Running everything from a teacher’s personal number. It works until that teacher leaves, takes leave, or a parent messages at midnight expecting an answer.
  • Groups instead of threads. A parent group has no delivery record, no privacy, and one parent can broadcast a complaint to two hundred others.
  • Sending fee reminders as marketing. A fee due notice is a utility message. Categorised correctly it is cheaper, more reliable and less likely to be reported.
  • Messaging too often. One message a week from the institute keeps the channel useful. Three a day trains parents to mute it before admission season.
  • No opt-out. It is required, and more practically, a parent who cannot leave will block instead, and you lose the channel entirely.
  • Attendance alerts that ignore replies. If a parent has already explained the absence, the second automated alert makes the institute look careless.

A realistic first thirty days

WeekFocusWhat good looks like
Week 1Three templatesEnquiry acknowledgement, fee due, attendance alert. Submitted and approved.
Week 2One number, one inboxThe institute number goes live with a shared inbox so replies reach whoever is on duty.
Week 3Fee remindersThree days before, and on the day. Nothing after payment lands.
Week 4Attendance alertsTriggered on two consecutive absences, sent the same evening, stopping on reply.

Do not migrate the parent groups in week one. Run the official number alongside them for a month, and let parents move because the answers are better.

The channel deserves restraint

The temptation with a parent list is to use it. Exam notices, holiday notices, event photos, motivational messages, festival greetings — each one is defensible on its own and collectively they destroy the channel.

The institutes that keep parents engaged for years send less than they could. When a message from the institute is rare, it is read, and the one that matters — a fee reminder, an absence, a result — lands with weight.

There is a second reason for restraint that is easy to forget. Parents talk to each other. An institute that messages constantly becomes the institute that messages constantly, and that reputation is difficult to undo.

One message a week, three templates that matter, and a number that belongs to the institute. That is most of the value.

How this fits with the rest of your stack

An institute usually ends up with four systems: enquiries somewhere, students somewhere else, fees in a ledger, and parents on a personal phone. The fee reminder then has no idea whether the fee was paid.

On MizUp, CLM sends on the official WhatsApp Business API, CRM holds the admission enquiry, EOS holds the student, the fee ledger and attendance, and BMS runs staff payroll. A fee reminder reads the same ledger the receipt was issued from, so it stops on its own.

That single connection removes the most common complaint parents have about institute messaging: being chased for money they have already paid.

Frequently asked questions

Can schools send fee reminders on WhatsApp?

Yes. A fee reminder to an enrolled parent is a utility message on the official API with an approved template. Keep it factual - amount, due date, payment link - and separate from promotional content.

Is a personal WhatsApp group enough for parent communication?

It works until it does not. Groups have no delivery record, no opt-out, and anyone can reply to everyone. The official API gives you a per-parent thread, delivery status and an audit trail.

How do admission enquiries and messaging connect?

Capture the enquiry in [MizUp CRM](/crm) and message from CLM against the same record. The counsellor sees the full history rather than scrolling a phone.

What message templates does an institute need?

Enquiry acknowledgement, demo class reminder, fee due, fee received, attendance alert, exam or result notice, and a holiday notice. Seven templates cover most of the year.

Do parents actually read them?

Far more than email. The practical constraint is not attention, it is restraint - one message a week from the institute keeps the channel useful.
